Job Requirements
Job Summary :
We are seeking an experienced, proactive, and discreet Executive Assistant to provide comprehensive administrative and strategic support to [Name of Executive / the senior leadership team]. The ideal candidate will be a highly organized problem-solver with exceptional communication skills and a meticulous attention to detail. You will serve as a key point of contact, ensuring the executive's time is managed effectively and that operations run smoothly.
Key Responsibilities :
* Calendar Management: Proactively manage complex and high-volume calendars, scheduling meetings, appointments, and conferences while anticipating and resolving scheduling conflicts.
* Communication: Act as the primary point of contact and gatekeeper for the executive(s), fielding and prioritizing internal and external communications via email, phone, and in-person.
* Document Preparation: Prepare, proofread, and format confidential correspondence, presentations, reports, and other documents with a high degree of accuracy and discretion.
* Travel Coordination: Arrange and manage all aspects of domestic and international travel, including flights, accommodations, ground transportation, and detailed itineraries.
* Meeting Support: Schedule meetings, prepare agendas, coordinate meeting materials, and record and distribute meeting minutes and follow-up items.
* Project Management: Assist with special projects by coordinating resources, tracking progress, and ensuring deadlines are met.
* Administrative Duties: Handle expense reports, maintain and organize confidential electronic and physical files, and perform other administrative tasks as needed.
Qualifications :
* Proven experience as an Executive Assistant reporting directly to senior-level management (C-level preferred).
* Technical Skills: Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and other productivity tools.
Soft Skills:
* Impeccable communication and interpersonal skills, with a professional and polished demeanor.
* Exceptional organizational and time-management skills, with the ability to manage multiple concurrent projects.
* A high level of professionalism, discretion, and the ability to handle confidential information with utmost care.
* Proven ability to work autonomously, anticipate needs, and take initiative.
* Education: A Bachelor's degree in Business Administration or a related field is preferred.
